Open Shopify Finance > Payouts when you need the transactions behind one Shopify Payments deposit. Open Finance > Documents > Payout Reconciliation Report when you need the opening balance, activity, fees, payouts and ending balance for a period.
Open Analytics > Reports and filter to Finance when the question is about sales, payments by gateway, refunds, tax or gift cards. These reports explain different stages of the money journey and should not be expected to show one identical total.
For a clean QuickBooks close, save the payout detail, period reconciliation, relevant finance reports and bank evidence together. A bank deposit should match its completed provider payout, not the sales dashboard for the same day. The payout reconciliation report reflects funds received through Shopify Payments and is not a revenue statement.
How to open an individual Shopify payout
- Sign in to the correct Shopify store with permission to view payouts.
- From the Shopify admin, open Finance and select Payouts.
- Use the payout list or filters to find the date, amount, status and currency you need.
- Open the payout and confirm its status, destination account and transfer reference.
- Review the transaction groups and individual charges, refunds, fees, disputes or adjustments.
- Export the transaction detail when you need a spreadsheet-ready record or many rows.
A payout marked Deposited means Shopify sent the funds; the bank can still take time to post them. Keep the transfer reference when a completed payout has not appeared in the bank after the expected processing window.
What the payout transaction export contains
The Shopify Payments payout export provides transaction-level evidence behind selected payouts or activity. Columns can include transaction type, order or source reference, amount, fee, net amount, currency, payout status and payout date, depending on the export and region.
Use the raw export as evidence, not as a finished journal. Group the rows into approved accounting categories such as sales, shipping, tax, refunds, processing fees, disputes and other supported adjustments. Unknown types should remain visible for review.
Do not delete rows because they look unfamiliar or make the total inconvenient. Preserve the original file and perform transformations in a separate working copy with repeatable formulas or a controlled system.
How to export the Payout Reconciliation Report
- From the Shopify admin, open Finance.
- Select Documents and open Payout Reconciliation Report.
- Choose the required date range. Custom ranges are available from 1 January 2025 onward under Shopify's current report behavior.
- Select the payout currency when the store receives more than one.
- Review the summary and activity groups on screen.
- Select Export to PDF and save the file with the close evidence.
The summary explains starting balance, activity before and after fees, total payouts and ending balance. The activity area groups charges, refunds, disputes, adjustments, reserves, shipping and other supported provider movements.
Shopify notes a three-day data delay for this report. Record when the PDF was generated and refresh it after the close evidence window before treating the figures as final.
Worked example: build the report pack for one payout
A merchant sees a $24,310 bank deposit dated 8 July. The Shopify payout page shows a completed $24,310 payout with $25,000 of gross activity, $420 of refunds and $270 of fees.

The merchant does not need the daily sales dashboard to equal $24,310. The exact payout, its components, the bank deposit and the QuickBooks entry form the settlement trail.
Export Shopify Finance reports for revenue questions
Go to Analytics > Reports, filter to Finance, and open the required report. Shopify's current export flow is available from the report menu and can offer CSV, XML, JSONL or Parquet for many reports. Legacy finance reports can use CSV options such as current page or full report.
For merchant bookkeeping, the most useful reports often include total sales by order, payments by gateway, taxes, gift-card balances and profit or COGS where the underlying data is complete. Export only the columns and date range needed, but preserve enough identifiers to trace exceptions back to Shopify.
A PDF is useful for a readable sign-off, while a CSV or other structured format is better for recomputing totals. Save both when the accountant needs a stable summary and a traceable data file.
Why sales and payout exports will not match
Sales reports organize order and return activity. Payments reports organize captured customer payments. Payout reports organize movement through the Shopify Payments balance. The same order can appear in all three with different dates and amounts.
Fees, disputes, reserves and adjustments can affect payouts without changing sales. PayPal and other third-party gateway payments can appear in Shopify's payment reports without entering a Shopify Payments payout.
Use the reports together as a roll-forward instead of treating any difference as an error. The goal is to explain how sales became provider balances and how those balances became bank deposits.
Name files so the next close is easier
A folder full of files named payouts.csv, payouts-2.csv and report-final.pdf is not an audit trail. Include store, period, currency, report type and generated date in every file name.

Use the actual store and payout ID rather than the examples above. Keep generated dates because a refreshed Shopify report can change after delayed provider activity arrives.
Protect the original exports
- Save the raw file before adding formulas, filters or deleted rows.
- Record the Shopify store, period, currency and timezone.
- Record the report name, filters and generated timestamp.
- Keep payout and transfer IDs with transaction detail.
- Create a separate working copy for mappings or calculations.
- Restrict access because reports can contain order and customer information.
- Retain the final report pack under the business's document policy.
If the payout report is missing
First confirm that you are in the correct Shopify store. Then confirm that Shopify Payments is active for the entity and that your staff role includes permission to view payouts. The Payout Reconciliation Report is available only for Shopify Payments activity.
A store using a third-party gateway can still have Shopify sales and payment reports, but the gateway's settlement report lives with that provider. Do not keep searching the Shopify Payments menu for a PayPal or Authorize.net bank transfer.
Report availability can also vary by plan. If a Finance report is unavailable, record the missing report, the available source exports and the person who approved an alternative. Never replace required evidence with a screenshot from a different store or date range.
When the menu itself has changed, search Shopify Help from the signed-in admin and use the current Finance or Analytics navigation. Keep the report's exact displayed name in the close instructions so another team member can reproduce the export.
Read the payout status before matching the bank

Shopify notes that a Deposited status does not guarantee the bank has finished processing the transfer. Use the transfer reference and expected bank-processing window before escalating a missing deposit.
Export the status with the payout evidence or capture it in the controlled close record. A later status change should update the exception, not rewrite the original transaction export.

Compare the Shopify pack with QuickBooks
Run a QuickBooks account report for Shopify Payments clearing and the destination bank for the same close. Export the report when the accountant needs a reviewable spreadsheet or PDF.
Compare payout ID, payout date, net amount, currency, destination bank and posting status. Then match the existing payout movement to the downloaded bank transaction. Do not add the bank deposit as new sales when the payout journal already recorded the source activity.
A remaining clearing balance should agree with Shopify's ending provider balance or named in-transit activity. Differences need transaction-level investigation, not a miscellaneous entry created from the gap.
